QuoteFast is operated by Uptrail Pty Ltd (ABN 95 688 480 855), an Australian company. We provide AI-powered quoting software for trade businesses.

In this policy, “we”, “us”, and “QuoteFast” refer to the service and its operators. “You” refers to you, the user.

Account information

Email address, business name, ABN, trade type, phone number, address, and logo — provided during signup and onboarding.

Quote data

Customer names, addresses, phone numbers, email addresses, job photos, voice recordings, quote line items, pricing, and related business information you enter into the app.

Usage data

Pages visited, features used, device type, browser type, and general interaction patterns. We use this to improve the product.

Payment data

Subscription plan and billing dates. Credit card details are handled by our payment processor — we do not receive or store your full card number.

• To provide and operate the QuoteFast service
• To generate quotes using AI (photos and voice recordings are processed by our AI provider)
• To send quotes to your customers via SMS or email
• To process subscription payments through our billing processor
• To send you service-related emails (password resets, billing alerts)
• To improve the product based on anonymised usage patterns

We do not sell your data to third parties. We do not use your business data for advertising or to train shared AI models.

We use these categories of processors to operate the service:

• Database, authentication, and storage processor — hosts core application records and files in an Australian region
• Specialist AI processors — process job photos, voice recordings, and quote inputs when you request AI features
• Payment processor — handles subscription billing
• SMS delivery processor — delivers quote links you choose to send
• Email delivery processor — delivers quote emails you choose to send

We require processors to protect data used on QuoteFast's behalf. We only share the minimum data required for each service to function. Before the first AI request on a device, QuoteFast asks for permission to send the relevant photos, voice recordings, job details, and pricebook context to specialist AI processors. You can withdraw that permission in Settings.

Core application records and stored files are hosted in an Australian region. Data sent to delivery, billing, or AI processors may be processed in other regions under those processors' terms. Connections are encrypted in transit, and hosting providers apply encryption controls to stored data.

We implement row-level security policies to ensure you can only access your own data. API routes are protected by authentication and ownership checks.

Your data is kept while your account is active and as required for legal, security, and service obligations. You can permanently delete your account from Settings. QuoteFast stops an active service subscription, removes your login and associated service records and files, and clears account data cached on that device. Data we are legally required to retain is kept only for the required period. Anonymised, aggregated data may be retained for analytics.

Under the Australian Privacy Act 1988, you have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate information
• Request deletion of your data
• Ask how your personal information has been handled
• Withdraw consent for optional data processing

To exercise any of these rights, use the monitored support address displayed below once it has been configured for launch.

The QuoteFast iOS app sold on the App Store works differently from the web service described above: it is fully on-device and does not require an account.

• No account, no sign-up. The iOS app has no login. We do not collect your email address or any registration details.
• All data stays on your device. Your business profile, customers, quotes, job photos, and pricebook are stored only on your iPhone. We operate no server for the iOS app and cannot see your data.
• Voice notes are transcribed on-device.Speech is processed with Apple's on-device speech recognition. Recordings and transcripts are not sent to us.
• No analytics, no tracking, no ads. The iOS app contains no analytics or advertising frameworks and does not track you across apps or websites.
• Subscriptions are handled by Apple. QuoteFast Pro is purchased through your Apple Account via the App Store. We never see your payment details.
• Sharing is under your control. Quote PDFs leave your device only when you choose to share them through the iOS share sheet (for example by SMS, email, or AirDrop).
• Deleting the app deletes your data. Because everything lives on your device, removing the app removes the data it stored.

We use essential cookies for authentication and session management. We do not use advertising or tracking cookies. Analytics cookies (if any) are anonymised.

We may update this privacy policy from time to time. We will notify you of significant changes via email or an in-app notice. The “last updated” date at the top reflects the most recent revision.
